Overview

The Property page provides comprehensive information about a specific property. This includes general details, rental information, notes, activity logs, and file management.


Property Details

The Property Details section allows you to manage the general information about a property. This includes specifying the property's type, category, and precise location.


Property General Information

  • Select Existing/New Client: Choose an existing client or add a new one.
  • Property Type: Define the type of property (e.g., Commercial, Residential).
  • Property Category: Specify the category (e.g., Office, Industrial).
  • Area Sq M: Enter the total area in square meters.

Property Location

  • Street Number: Enter the property's street number.
  • Flat Number / Building Name: Input the flat number or building name.
  • Street Name: Name of the street where the property is located.
  • City: City where the property is situated.
  • State: State or region of the property.
  • Postal Code: Postal code for the location.
  • Select Country: Choose the country (e.g., Nigeria).

Rental Details

Configure financial and contractual tenancy aspects within the Rental Details section.


Tenancy Term

Information about tenancy term and tenure and break options.

Type of Tenancy

  • Fixed Term Tenancy: A tenancy based on fixed term where you specify a start date and an end date.
  • Periodic Tenancy: A tenancy based an agreement with a stated commencement date that will continue until terminated by either landlord or tenant.

Tenancy Break Options

  • Landlord Break Option: Indicate if the landlord can break the agreement early and specify a break date.
  • Tenant Break Option: Indicate if the tenant can break the agreement early and specify a break date.

Rent

Information about rent and payment methods.

  • Total Rent Amount: Specify the total rent payable to the landlord.
  • Payment Type: Specify if the tenant will pay the rent in advance or in arrears.
  • Payable Frequency: Specify the payment frequency (e.g., monthly, quarterly).
  • Payment Method: Specify how the tenant will pay (e.g., bank transfer,cash etc).

Damage Deposit

Specify the damage deposit required for the property.

  • Deposit Amount: Enter the required damage deposit.
  • Deposit Payment Method: Specify how it will be paid.

Service Charge

Specify the service charger required for the property.

  • Service Charge Deposit: Input the deposit amount for service charge.
  • Insurance Responsibility: Define who insures the property during the tenancy in the event of either damage or loss because of use of the property.

Default Fee

Specify the default fee charged for unpaid rent.

  • Unpaid Rent Percentage: Set the percentage charged as a default fee.

Landlord Details

Specify the details of the landlord.

  • Landlord Type: Individual or company/organisation.
  • Property Manager: Indicate if a property manager is involved.

Tenant Details

Specify the details of the tenant.

  • Tenant Type: Individual or company/organisation.
  • Guarantors Required: Specify if guarantors are needed.

Notes

Use the Notes section to add instructions, or any relevant property information in form of notes.


Activity Logs

The Activity Logs section tracks a chronological history of all significant property updates and actions.

Each log entry includes:

  • Date and Time: When the action occurred.
  • User: Who performed the action.
  • Action: Description (e.g., "Property updated").
  • Details: Specifics like rent payment method, category, or type.

This ensures transparency and traceability in property management.


File Manager

The File Manager section lets you upload, organize, and manage documents related to a property.

  • Tenancy Agreement Documents: It will show you all the tenancy agreement documents created using DocuProp.
  • Notices: It will show you all the notices created using DocuProp.
  • Upload Document: Upload you own files related to the property such as Property Tax Documents, Utility Bills etc.

This central hub ensures all files are securely stored and easily accessible.
